Making a Diagram or Flow Chart: Drawing Toolbar (more advanced)

  1. Open Word and change the page orientation to Landscape: File > Page Setup > Paper Size > Landscape > OK
  2. Make sure that the Drawing Toolbar is visible at the bottom of your screen. If it isn’t go to View > Toolbars > and click on Drawing

    Note: Hold the Shift key while drawing to constrain the ellipse to a circle or the rectangle to a square. Holding Shift while drawing lines keeps them to 45 degree angles. Hold Shift to select multiple objects. Hold Shift when resizing a graphic to maintain its proportions.
  3. Start by drawing a box shape for the monitor using the Rectangle Tool. Select your drawing by clicking on it.
  4. Give it  solid form with the 3-D Tool (if the buttons are greyed out, check that the shape is selected). In addition you can click on 3-D Settings to change the lighting effects, the colour, the surface finish (wire, metal, plastic, matte), tilt it, increase/decrease the depth etc. Copy and Paste the monitor shape.

  6. To include arrows in your flow chart click on AutoShapes > Block Arrows > select an arrow shape, which you can then draw on the page by holding your left mouse button down and dragging on the page.

  7. The fill colour of the arrow, line width, line colour etc can be formatted using the relevant icons on the same Drawing Toolbar.
  8. You can Copy and Paste the finished arrow and flip it in the opposite direction by clicking Draw > Rotate or Flip
  9. The diagram can be labelled using text boxes and the ordinary arrow tool (NB the arrow head is where you finish not where you start drawing).
  10. The final stage is to group all your disparate drawing objects so that they can be moved as one. To do this select the first object, hold Shift then select the second, and continue until all the objects to be grouped are selected. Go to Draw > click on Group and it's done. Save and print your work.
